Microsoft 365 changes for students
Read the information on this page to know how your Microsoft 365 (M365) storage is changing and what you need to do. See the timeline to know when these changes are taking place.
Individual OneDrive and email storage
- Students have access to M365 Online services through Virginia Tech. See a detailed list of apps and services.
- Starting June 2, 2025, students will have a storage cap of 10 gigabytes (GB) in OneDrive and 5 GB in Exchange Online email. Students may not purchase additional storage.
- Students will have access to 1.5 terabytes of storage for email archiving. Emails will be archived automatically after three years.
Shared Microsoft resources (Teams, SharePoint sites, Groups, Viva Engage communities, etc.)
- Until further notice, students may no longer create new shared resources in M365. Students may be added to these resources by a faculty or staff member.
- To stay active, existing student-owned shared resources need to be transferred to a department (i.e., claimed by that department) by June 2, 2025.
- Unclaimed shared resources will be deleted on July 14, 2025.
- Students with leadership positions in student organizations should contact Student Affairs to discuss any Teams or SharePoint needs.
- The Division of IT is exploring options to reinstate students' ability to create shared resources, but for now plan to either move data out of shared resources you own, or have them transferred to a department.
What to do
- Pay attention to your email and this website for important updates on these changes. This is the best way to be prepared.
- Check the amount of Microsoft storage you are using by logging into https://mycat.ccs.vt.edu/. Scroll to and open the M365 tab to view your storage in OneDrive and Exchange Online.
- If you are currently over or close to the above storage threshold in either application, move and/or delete email and files accordingly.
- If you are the owner of any M365 shared resources, make plans to move content or find a faculty member to take on ownership of that space.
- Refer to the timeline for important dates and deadlines.
