Using Qualtrics and other survey tools at Virginia Tech

Virginia Tech recently acquired Qualtrics as its primary survey tool. Additional tools - QuestionPro, Microsoft Forms, and Google Forms — are also available. This website contains information about Qualtrics and guidance for those who may need to move surveys from QuestionPro to Qualtrics. 

Re-introducing Qualtrics university-wide comes in response to feedback from our research community and other users. The Division of Information Technology, in cooperation with the University Libraries, Governance, Technology –Enhanced Learning and Online Strategies, and Office of Research and Innovation are working together to support the implementation.

About Qualtrics

Virginia Tech chose Qualtrics for several key reasons. It offers advanced capabilities for research and data analysis that outstrip those of several other well-known survey software platforms, including QuestionPro. It is also more intuitive and user-friendly. This move was informed by years of consistent feedback from researchers and aligns with our commitment to provide robust tools to support the demands of academic research and administration.  

If you are an active faculty or staff member, or graduate student with an assistantship (including GRA, GA, or TA) you can access your Qualtrics account by logging in with your Virginia Tech credentials at https://virginiatech.qualtrics.com/. If you are not within one of these groups, please submit your request to https://4help.vt.edu/.

Currently, Qualtrics is available to all Virginia Tech faculty, researchers, and staff, as well as graduate researchers, graduate teaching assistants, and graduate assistants. All other student access will be reviewed. We will provide updates on student access as soon as we have more information.

General Questions

Eventually, yes.  Our top priority is to make this process as smooth as possible for your ongoing research. We will continue to communicate migration plans and provide support to help you through the transition. The project team will work closely with researchers and departments to understand and address needs throughout the transition.

However, as Qualtrics is available at the enterprise level now, you may begin transitioning surveys to Qualtrics now.

No, Qualtrics will be free of charge for all faculty, researchers, and staff.

While you can still use QuestionPro for your existing surveys, we strongly recommend that you start all new surveys in Qualtrics.  

Yes. The university is shifting its primary survey tool to Qualtrics to take advantage of its features and to avoid the complexities of supporting two separate platforms. In addition, you will find that Qualtrics offers enhanced features and research functionality compared to QuestionPro. We ask that all faculty, researchers, and staff who are currently using QuestionPro begin using Qualtrics for new surveys as soon as possible. Keep in mind that Microsoft Forms and Google Forms also remain available for simpler survey needs.

Yes, we strongly recommend you start all new surveys in Qualtrics as soon as possible. If you are an active faculty or staff member, or graduate assistant (including GRA, GA, and TA) you can access your Qualtrics account at https://virginiatech.qualtrics.com/.

If your department has already paid for Qualtrics licenses, you do not need to take any action. Unfortunately, due to the timing of this service transition, we are not in a position to offer refunds for licenses that have already been purchased.

QuestionPro will be available for the duration of our current agreement. We will ensure that individuals and their departments have appropriate time to prepare for their data migration. However, we strongly recommend that you start all new surveys in Qualtrics as soon as possible.

Training and Support

Yes, we recommend that all new employees learn Qualtrics. To start, please visit the support page, where you can find various training options.

Research and Compliance

The Virginia Tech IT Security Office has reviewed and approved Qualtrics for use with high-risk data. The Human Research Protection Program (HRPP) and IRB rely on this review and, based on it, will approve the use of Qualtrics for human subjects research.

Yes. If your research was reviewed and approved as ‘Expedited’ or ‘Full Board’, you will need to submit an amendment to switch from QuestionPro to Qualtrics.  If your project is ‘Exempt’, you may make the change without submitting an amendment. The review category for each research project can be found in the “Protocol Information” section in the IRB Protocol Management System.  If you have questions about this process, please contact irb@vt.edu  

Looking ahead

Your surveys and data will eventually need to be migrated from QuestionPro to Qualtrics if you want to keep them. We are in the process of hiring a full-time employee to support researchers and faculty with this process. While we are not yet able to provide migration support, you can begin migrating your inactive or closed surveys on your own if you feel comfortable doing so. The project team will work closely with researchers and departments to understand and address needs throughout the transition.

Yes. Since QuestionPro will eventually be phased out, you will need to migrate your surveys to Qualtrics. Our top priority is to make this transition as smooth as possible, and we will continue to communicate our migration plans and offer support.

We will provide timely communication with clear instructions and a timeline for the migration. Please regularly check this website and your email for updates.
